You provide the home. You have to prove it was safe and well run.
In transitional housing the residents change every few weeks, the council can ask about any property at any time, and the homes are often held in more than one name. The answer has to come from a record, not from memory.
Unlimited users on every plan
Beat 1 · Your week now
The homes are busy. The paperwork is everywhere.
Residents move in and out, rooms need turning round, repairs come in by text, and the council wants to know a new property is fit before anyone moves in.
Certificates sit in a spreadsheet, inspection notes in a notebook, repair photos in someone's phone, and receipts in a carrier bag for the accountant in January.
Beat 2 · What breaks
The question arrives about one property, months later.
A council officer asks for the gas certificate, the last inspection and the move-in inventory for one house. Somebody spends an afternoon finding them, and one is missing.
At the year end the accountant asks which costs belong to which home, and which homes are yours and which the company's.
- Certificates for shared houses tracked in someone's spreadsheet
- Inspections written up from memory that evening
- Inventories that never got the resident's agreement
- Homes in your name, a company's and jointly, all in one bank account
Beat 3 · Why your current tools can't fix it
Spreadsheets, folders and WhatsApp threads don't add up to a record.
A spreadsheet can be edited by anyone, afterwards. A folder knows nothing about the reminder. A WhatsApp thread knows nothing about the property it was about.
When one question spans all three (was this home safe, inspected and let properly, and what did it cost?) somebody stitches the answer together by hand.
Beat 4 · What changes
One dated record for every home, from certificate to accounts.
Each certificate is on file with its dates and reminders from 90 days out. Inspections, inventories and repairs are done on the phone on site, even with no signal, and land on the property's record.
Rent and every cost are kept per property and rolled up per owner, so the accountant gets figures, not a carrier bag.
- Gas, electrical, fire risk (HMO), legionella and more, with reminders
- Inspections and inventories on the phone, photos per item
- A new property sent to the council officer on a link
- SA105 figures for homes you own personally, CT600 input for the company
