Property · Placement · Support notes · No account for the approver
The person approving your placement doesn't work for you.
So they will not create an account, learn your system, or occupy a seat. Evidix sends the property, the placement or the support notes out to them on a link — and brings a stamped decision back onto the record.

The pain
What this feature fixes.
The approval is sitting in an email thread.
The pack went out as an attachment on Tuesday. Nobody can say whose turn it is, whether the officer opened it, or which version they are looking at. The placement waits, the void runs, and the answer is somewhere in a reply-all.
The approver will never buy your software.
A local-authority officer or a commissioner is not going to hold a licence in your system to click approve twice a year. So the approval happens off-system — and the moment it does, your audit trail has a hole exactly where the decision was made.
“Who approved this, and when?”
Asked at a housing-benefit review, a commissioner audit, or a contract renewal. If the answer lives in someone's sent items — and that someone left in March — the decision is functionally undocumented.
How it works
What you get when you turn this on.
- Send a property for approval — the officer opens a review link, reads the pack, and approves or declines with comments
- Send a tenant placement for approval — the signed pack goes to your named placement officers, who decide on the same kind of link
- Send support notes to a commissioner or RSL — a read-only seat, with the professional stream withheld until it is authorised case by case
- No account, no licence and no seat for the approver — they never sign up for anything
- Every decision stamped with name, organisation, IP address and timestamp, straight onto the record
- Links expire, and can be withdrawn after sending if circumstances change
- Recipients are frozen at the moment of send — editing a list later cannot retarget an approval already in flight
- Evidence-share mode sends documents for acknowledgement without opening an approval gate
- Recipient lists set per property or per organisation, so the right desk gets the right sends

With and without
The operating-day difference.
Without Evidix
- The approval lives in an email thread and nobody knows whose turn it is
- The officer would need an account, so they never get one
- Someone edits the recipient list and an in-flight approval goes to the wrong desk
- “Who approved this?” is answered out of a former colleague's sent items
- A shared pack is a PDF attachment you can never take back
- Sharing evidence means starting a formal approval you didn't want
With Evidix
- Status sits on the record — not submitted, under review, approved, declined
- They click a link, read the pack, and decide
- Recipients are snapshotted at send; the change applies to the next one
- Name, organisation, IP and timestamp, on the record, permanently
- The link expires on a clock, and can be withdrawn the moment things change
- Evidence-share mode: they acknowledge receipt, no gate opened

Included on every plan — approval routing is not reserved for the top tier.
No licence. No login. No seat. Just the link you sent them.
And the decision comes back onto the record, stamped, where the audit will look for it.
