About Evidix
- What is Evidix?
- Evidix is property management software for landlords, letting agents, managing agents and housing providers. It tracks compliance deadlines, triages repairs with AI, dispatches contractors, logs tenant messages and reconciles rent, and keeps all of it in one audit trail, so a court-ready evidence pack comes out of everyday work. It runs in a web browser and is made by PropFlow AI Ltd (company number 17155051).
- Who is Evidix for?
- Self-managing landlords, letting agents, managing agents, and housing associations and other registered providers, including supported-housing providers. Accountants can be invited in with their own access to a client's books, and tenants get their own portal to report repairs and message their landlord.
- How much does Evidix cost?
- There are four plans, priced monthly in GBP: Basic £30 (includes 10 tenancies, then £2.50 per extra tenancy), Professional £125 (50 included, then £2.25), Business £250 (125 included, then £2.00) and Enterprise £500 (250 included, then £1.75). Paying yearly takes 20% off. VAT is not currently charged. Full details are on thepricing page.
- Is there a free trial?
- Yes. Every plan starts with a 14-day free trial. A card is taken at sign-up, but nothing is charged until the trial ends, and you can cancel before then.
- Does Evidix file Making Tax Digital returns to HMRC?
- No. Evidix keeps the quarterly digital records that Making Tax Digital for Income Tax requires and prepares SA105 property figures for your accountant, but it does not submit anything to HMRC. You or your accountant file using MTD-compatible software.
- Is PropFlow AI connected to other products called PropFlow?
- No. PropFlow AI Ltd (company number 17155051, https://www.evidix.co.uk) makes Evidix. It is not affiliated with other products or companies named PropFlow or Propflow.
- Who's behind PropFlow AI?
- PropFlow AI Ltd, the company behind Evidix, is a small Birmingham-based team. Saeed is the founder and engineering lead — he runs Brainwave Properties (sales and investment) and his own residential portfolio, which is the platform's testbed. Two collaborators work alongside him. Brainwave Housing, an emerging supported-housing arm, is preparing as an Approved Managing Agent.
- Do you have other customers?
- Evidix runs in production today on Saeed's own portfolio, and we're opening it to operators who want to use it deeply and shape it. We'd rather have ten doing that than a thousand using it shallowly.
- Is PropFlow AI VC-funded? Will you pivot away?
- PropFlow AI is currently founder-funded with Brainwave Properties' cash flow. Outside funding will only ever be raised on terms that don't compromise the operator-first roadmap. We're building this to last.
- Is this legal advice?
- No. Evidix is software built by a landlord, not by solicitors — anything on this site, in our content, or from us in conversation is our best read of the relevant statutes (Renters' Rights Act 2025, the Housing Acts, the Tenant Fees Act, the Protection from Eviction Act) as operators, not legal advice. The platform produces evidence packs, deadline reminders and audit trails to help you act on your solicitor's advice, not in place of it. For your specific portfolio and any live situation — possession claims, deposit disputes, fines or notices — talk to a property solicitor before acting.
Pricing & billing
- Will my plan grow with my portfolio?
- Yes — you can upgrade from any tier to the next in 30 seconds. The change applies immediately and we prorate the difference on your next bill. Downgrades take effect at the end of your current billing period so you don't lose features mid-month.
- What counts as a tenancy?
- An active tenancy = a current rental agreement with at least one named tenant. Inactive (expired) tenancies don't count against your cap. The system warns you before you exceed your cap so you can upgrade before any service interruption.
- Is there a contract?
- No contract. Monthly billing renews monthly; annual billing renews annually. Cancel any time from your billing settings and we stop charging at the end of the current period.
- Can I switch from monthly to annual (or back)?
- Yes. Switching to annual is immediate — we charge the year up front and apply your remaining monthly balance as credit. Switching from annual to monthly takes effect at the end of your annual period.
- Are these prices including VAT?
- PropFlow AI is a UK-registered company; once we cross the VAT threshold (or register voluntarily) we apply VAT to UK invoices at the prevailing rate. Until then no VAT is charged. Your bill has at most seven lines and every one of them is on the pricing page: your plan, your tenancies, the supported housing add-on, extra storage, connected bank accounts, and usage. Five of those are £0 until you use them.
Data & security
- Is my data UK-hosted?
- Yes. All customer data lives in our UK / EEA region on Supabase. Encrypted in transit (TLS) and at rest (AES-256 managed). See our security posture page for the full detail.
- How is my tenant data kept separate from other landlords?
- Row-level security at the database level — each landlord's data is technically isolated, not just policy-isolated. A landlord cannot see another landlord's tenant data even if there were a bug in the application layer. Hosted in the EEA region. GDPR / UK GDPR compliant. More detail on the security page.
- What happens if PropFlow AI shuts down?
- Your data is yours. We commit to a full export in standard formats on 30 days' notice. The platform retention schedule mirrors statutory requirements — 7 years for tenancy records, 25 years for safeguarding-relevant supported-housing notes.
